Work: Operating Network Internal - Regional Manager - Facilities, Manager - Facilities, Executive/Senior Executive - Facilities, Purchasing/Accounting/Help Desk/Security/Internal Systems/Auditors/All Departments/Employees External - Government/Statutory Bodies, External Auditors, Corporate Guests/Visitors, Vendors; Service Provider Job Objective Manage core services in-country and in assigned country, implement, maintain and develop support services to customers (facilities/transportation/hospitality/general engineering services/voice communication with approved local service providers), participate in cross-functional organizational level initiatives including business continuity management systems, establish health, safety and environmental management initiatives in accordance with company policies and service level agreements (SLAs) and in compliance with applicable laws and regulations. Knowledge and Skills Required for the Job Knowledge: Facilities knowledge (hospitality, management, HSE) Skills: Human resource management, customer relations, communication, interpersonal, negotiation, management, analytical and networking skills. Native Japanese, Fluent English Prerequisites: Ability to travel to other facilities within the region Facility Management Coordinate all facility activities and assign tasks to team members to deliver facility services as per defined policies and local regulations, and meet customer needs as per SLAs Responsible for implementing Business Continuity Management System and HSE as per local regulations and company policies Support all activities applicable to the region such as event management and visitor management Handling service escalations Respond to medical emergencies as per local regulations External Relations Management Represent Infosys and maintain professional relationships with all external stakeholders and interested parties with whom the division needs to work Such stakeholders include government officials, civil servants, regulators, ministry officials, members of industry associations, NGOs, activists and society at large Build strong working relationships with vendors who provide services to the company Respect company values at all times and act ethically Establish and maintain professional relationships with key stakeholders to achieve division goals Human Resources and Development Interview, recruit and place contract employees in assigned work area. Conduct or arrange training for facility contracting personnel to develop team capabilities. Operations Management Monitor and manage all operations within the operations area Accountable for the delivery of facility services to customers and ensure that such services are delivered within the established SLAs Review systems and processes and ensure compliance Participate in monthly management review meetings and project review meetings Review dashboards and identify cost control and resource conservation areas to support the delivery of facility core services while improving operational efficiency Health, Safety and Environment Ensure implementation of HSE initiatives, regularly review systems and ensure achievement of objectives and targets Monitor progress of management plans and plan regular training for contracting personnel Implement internal and external audit results, monitor dashboards, work with safety committees etc. to manage initiatives and ensure continuous improvement of HSE management systems Business Continuity Management System Implement systems and processes for each site Be part of the Japan and regional BMS team and help manage all business operations related to the BMS, including mock drills, evacuation drills, internal and external audits, all review meetings, etc. Coordinate the team to manage all incidents until recovery Work with other teams to create the necessary awareness in Japan and regionally to strengthen the BMS, and conduct training for all employees, including contract employees Administrative and logistics services Responsible for day-to-day operations and utilise the offshore support desk to enable all aspects of value engineering/purchase requisitions/purchase orders and settlements. Liaise with vendors and service providers to provide services Responsible for timely submission of reports to all government agencies and compliance with regulatory and legal requirements that may apply, consulting with local legal team Participate in audits and resolve findings Ensure new asset inventories and annual verification of inventories Prepare and submit reports on management desk performance evaluation to manager Provide services in line with SLAs to meet customer expectations Engineering Services Establish appropriate technical services and backups for critical systems, ensure maintenance and upkeep of equipment, track annual maintenance contract schedules, prepare estimates for work as per approved designs and plans, review and approve invoices based on contractor work as per estimates and plans, review the quality, timeliness and cost of all work including new construction and repair and maintenance of existing infrastructure, coordinate maintenance related activities, install voice communication networks in new facilities, periodic inspection of power systems, define and ensure preventive maintenance schedules, oversee and monitor the status and reporting of all critical equipment, ensure 24/7 support and inventory planning to provide engineering services for the effective functioning of Japan and the region in consultation with approved service partners |
