Most of us have busy schedules that change at a moment’s notice, so it’s important to be able to cancel reservations at the last minute. In this week’s blog I would like to look at how we cancel a reservation politely.

The phrases in this blog can be used both in face-to-face situations and over the phone.

The first stage is to announce that you would like to cancel the reservation:

I would like to cancel my reservation on (Satur) day (18th) (February), please.

I have a reservation for (two) people on (Satur) day (18th) (February). Could I cancel that, please?

Would it be possible to cancel a reservation?

It is not always necessary to give a reason why you need to cancel. Most businesses are used to last minute changes.

The next stage is for you to confirm your reservation details:

Reservations Clerk Customer

May I confirm your name, please?

My name is (John Smith).

What name is it under?

Yes, it should be under (Smith). That’s (Sierra-Mike-India-Tango-Hotel).

(Smith)は(SierraのS、MikeのM、IndiaのI、TangoのT、HotelのH)です。

What is your telephone number / E-mail address?

My telephone number / E-mail address is ...

If you are lucky, you will not be charged for the cancellation. However, this entirely depends on the establishment’s cancellation policy:

Okay. That has been cancelled for you.

We have cancelled your reservation.

In the event of the cancellation being charged for, you might need to be prepared to pay an administration or late cancellation fee:

Reservations Clerk Customer

I’m afraid that we have to charge you a cancellation fee of (50)% / ($40) this time.

I’m sorry. I thought that if I cancelled one day before, there would be no charge?

I’m sorry but if we cancel the reservation, we have to ask you to pay.

That’s fine. Thank you for your help.

It will cost you (50)% of the total fee / ($40) to cancel.

I understand. Please go ahead and charge my card.

Let’s look at these phrases in action. A customer calls LaQuicke restaurant on the phone to cancel his reservation:

Reservations Clerk: Good evening. Thank you for calling La Quicke. How may I help you?

Customer: I would like to cancel my reservation on Friday 13th February, please.

Reservations Clerk: May I confirm your name, please?

Customer: Yes, it should be under Tanaka. That’s Tango-Alpha-November-Alpha-Kilo-Alpha

Tanakaは TangoのT、AlphaのA、NovemberのN、AlphaのA、KiloのK、AlphaのAです。

Reservations Clerk: What is your telephone number?

Customer: My telephone number is 090-1234-5678.

Reservations Clerk: Okay. That has been cancelled for you, but I’m afraid that we have to charge you a cancellation fee of $25 this time, Mr. Tanaka, as you cancelled the reservation only one hour in advance.

Customer: I understand. Please go ahead and charge my card.

Reservations Clerk: Thank you.

I hope you find the advice given in this blog useful for when you have to cancel a reservation in the future. In my next blog, I will be looking at how to ask a colleague for help.
