    日本に来て10年になりますが、母国と日本のミーティングの違いにはいつも興味をそそられます驚かされます。日本のミーティングはとても静かで、参 加者は順番に話をし、対立が起きることは稀です。対して海外の(ここでは「西洋の」という意味ですが)ミーティングは大抵騒がしく、皆みんな一斉に話を し、発言を遮ったり議論がヒートアップしたりすることもしばしばです。日本の生徒さんからもよくインターナショナルなミーティングは気が滅入る、という話 を聞きます。

    このような違いはどうして生じるのでしょうか?

     

    Since coming to Japan 10 years ago I have been fascinated by how different the meetings are here compared to the ones back home. Japanese meetings tend to be very quiet, people talking in order and very little conflict. International meetings (by international I mean Western) tend to be much noisier, everyone talking at once, interruptions and heated debate. From the many Japanese students I talk to, international meetings can be very frustrating.

    So where do these differences come from?

    95% of Japanese people have slept in a meeting?!

    まず、ミーティングの目的が日本と海外では往々にして異なる、ということが挙げられます。
    日本では良好な人間関係を築き、維持することが ミーティングにおいて重要だとされます。そのために根回しをすることも多く、ミーティング中に新しい決定がなされることはそうありません。新しい事を生み 出したり結果を出したりするよりも和を重んじる結果、ミーティングは長たらしくになり、居眠りする人が出ることも珍しくありません。最近行った英語のセミ ナーで「ミーティング中に居眠りしたことがある人はいますか?」と尋ねたところ、日本人参加者の実に95%が手を挙げました。これだけの割合ということ は、もしかしてあなたも…?

     

    Firstly the purpose of holding meetings in Japan is often different to overseas.
    In Japan, building and keeping good relationships is a key part of meetings here. To ensure this, a lot of preparation is often done before the meeting (根回し) and new decisions are rarely made in the meeting itself. Harmony and keeping the peace are prioritised above making decisions or getting results in the meeting. This can often lead to long meetings and it is not unusual to see a person or two falling asleep. In a recent English seminar I presented at, 95% of the Japanese participants raised their hands when asked “Who has ever fallen asleep in meeting”? Sound familiar?

     

    一方、西洋では情報交換が人間関係よりもずっと重要視されます。ミーティングを成功させるには、結果を出し、行動に繋げ、決定を下すことが必須条件 なのです。案件を片付けたくてたまらないので、口を挟んだり反論したりすることで相手を動揺させてしまうのではないか、なんて心配はあまりしません。居眠 りでもしようものなら、その日一日中笑いのタネにされてしまいます。

     

    In the west, exchanging facts and information is much more important than the relationship. We need to get results, actions and decisions to feel we have had a successful meeting. People are impatient to get things completed and don’t worry too much about upsetting someone by interrupting or disagreeing. Falling asleep in a meeting would probably lead to you being the company joke for that day.

    Are the Japanese really slow, indecisive and weak? No.

    それぞれの文化で求められる行動規範の違いも、ミーティングの違いにつながります。私は個を重んじ、リスクを恐れず、独立精神を持つよう教えられて 育ちました。そういった姿勢は日本人の目には強引、無謀、自己中心的だと映ることもあります。一方日本では几帳面さ、慎重さ、持ちつ持たれつの関係を大事 にするようしつけられます。決して悪いことではないのですが、結果として、ミーティングにおいて日本人は時間をかけすぎる、優柔不断、弱々しいといった印 象を持たれてしまうことがあるのです。

     

    Expected behavior is another reason why meetings are so different in Japan and overseas. I grew up learning to be an individual, taking risks and being independent. To a Japanese person this kind of behavior can seem aggressive, careless or selfish. On the other hand, the Japanese are taught to be thorough, cautious and interdependent. As a result, unfortunately, the Japanese often get seen as slow, indecisive or weak in international meetings.

    Debate is welcome, preparation is key!

    では、騒がしくてペースの速いインターナショナルなミーティングで、日本人であるあなたが成果を上げるにはどうすればよいのでしょうか。まずはミー ティングの目的を理解し、念入りに準備をしてください。いつ質問されても答えられるようにしておけば、一目置かれるようになります。もし誰かが横やりを入 れてきても、一歩も引き下がってはいけません。多少の議論はむしろ歓迎しましょう。そこから素晴らしいアイディアが生まれることもあるのですから。そして 勿論、英語力を磨くのも重要なポイントです。使えるフレーズを覚えたり、会議を録音してネイティブスピーカーのやり取りから学んだりするのも良いでしょ う。

    少しの自信としっかりした準備があれば、気が滅入るどころかミーティングを楽しめるようになるかもしれませんよ。

     

    So, how can you as a Japanese person be successful in these noisy, fast-paced international meetings? Firstly try to know the purpose of the meeting and prepare well. Be ready to give your opinion as this will earn you respect from people in the meeting. If someone interrupts you then stand your ground – a little conflict is often a good thing and can lead to some great ideas. Finally, brush up on your English skills for meetings – for example learn useful phrases and perhaps voice record your meetings at work to learn from how native speakers interact during the meeting.

    With a little confidence and the right kind of preparation, you might actually start to enjoy these international meetings!
