The primary objective of this role is to oversee the delivery of Japan Office’s finance and accounting and administration requirements to effectively monitor and report financial results and provide oversight of other administrative duties. This role will identify process and operational improvements to drive efficiencies and productivity gains. The Finance Manager will provide guidance, mentoring and support to a team of three direct reports. The Finance & Accounting Manager will liaise with colleagues in the US and Australia and partner with the third party accounting firm to ensure accuracy and integrity of financial results. This role will partner with key business contacts to drive operational and profit improvements to the business. This role also provides administrative support to the wider office in terms of other processes such as IT and office maintenance. Planning and Forecasting Work with the business to identify drivers and needs to be considered in the annual planning process and coordinate the local reviews and inputs. Work with colleagues in Australia and the US to effect efficient and accurate annual planning cycles. Assess actual results against plans and forecasts and work with Australia and US colleagues to determine necessary adjustments to quarterly forecasts. Identify opportunities for improvements and reductions in spend to minimise costs to the business. Assist the business in monitoring their spend to ensure appropriate levels of cost discipline across general and administrative cost areas. Provide inputs to monthly and other ad・hoc reporting including Boardroom reports summarising business performance. Review monthly results and assess for accuracy and integrity. In conjunction with the wider Finance and Accounting and Administration team, provide inputs to monthly reports detailing drivers for variances and explanations of the results. Assess need for adjustments to forecast and provide insights as to Risks and Opportunities to the Plan and Forecast.
Finance, Accounting and Control Oversee team’s production of reconciliations and support for all incoming and outgoing cash transactions, including both standard bank and petty cash transactions. Oversee processing of accruals to ensure integrity of financial results. Oversee within the team the process of matching all cash received to agent bookings and ensure cash is applied to bookings accurately and timely. Oversee the local relationship with the third party accounting firm to ensure service delivery, timeliness, and accuracy of results. Identify areas for improvements and efficiencies in the process. Ensure accuracy and integrity of vendor payment information. Ensure all accounts receivable and payable processes are operating effectively and accurately. Serve as the primary local point of contact for all external and internal audit queries. Oversee any necessary statutory reporting requirements including bank transactions and local filings including Bank of Japan, Statistics Bureau, General Affairs Ministry, Fair Trade, etc. Liaise with Tax team in the US and the third party tax provider to ensure accurate and timely completion of all required tax filings. Approve payments and transactions in accordance with the stated Delegation of Authority requirements.
IT Serve as local IT coordinator for hardware and software matters that are not addressed by IT partners overseas. Assist with provision of local hardware (PC, phone, etc.) to new hires and updates to existing employees as required. Provide oversight and discipline around best use of assets and maintenance of inventory. Provide assistance in troubleshooting for hardware assets. Liaise with global IT team to provide support and ensure needs of office and employees are met.
Administration Oversight of local legal and compliance framework and ensuring local matters are appropriately addressed through local outsourced or overseas colleagues. Partner with the Country Leader to drive initiatives that support the office environment such as team events and best use of funds. Assist with facilities and office management needs.
