Job Description We are seeking an experienced and dynamic HR cum Administration Manager to oversee all aspects of human resources and administrative functions in our Japan office. The ideal candidate will be responsible for implementing HR strategies, managing personnel policies, and ensuring efficient administrative operations to support our growth and enhance employee engagement.

Key Responsibilities:

1) Recruitment & Selection:
- Manage the end-to-end recruitment process, collaborating with hiring managers, for all roles, including job posting, candidate sourcing, screening, interviewing, and offer negotiation.
- Ensure a positive candidate experience throughout the recruitment process by maintaining regular and transparent communication with timely feedback.
- Proper onboarding of new hires including ensuring that an onboarding plan is in place.
- Continuously assess and improve recruitment processes to enhance efficiency and effectiveness, including leveraging technology and tools, establishing structured process, keep abreast of industry trends and best practices.

2) Performance Management:
- In line with regional guidelines and timeline, ensure annual performance management process is implemented in a timely manner.
- Conduct workshops in Japanese and ensure managers and employees are well trained to set goals, perform evaluations, give and receive feedback.
- Administer and ensure that regular feedback happens between managers and employees.
- Oversee learning & development programs as required.
- Provide support to managers and employees as required.

3) Employee Engagement:
- Organize/Coordinate company-wide events such as team building, employee engagement surveys, employee recognition programs, company trips, social events, etc.

4) Payroll Processing:
- Responsible for ad-hoc and monthly payroll processing and reporting.

5) HR and Time Management Systems:
- Maintain and update time management system, monitor overtime work and take necessary actions to ensure compliance with the government regulations in working closely with the managers.

6) General Affairs:
- Responsible for all general affairs of the company, HQ and data centre offices such as document management, office health and safety, office layout and administration, etc.
- Implement disaster prevention and safety management.

7) Legal & Compliance:
- Ensure all HR, labor and office regulations and policies are in compliant with the local regulations, updated and implemented accordingly.
- Conduct mandatory training such as workplace behaviour policy.

Requirements:
• Bachelor’s degree in Human Resources or Business Administration.
• Minimum 10 years of working experience with at least 5 years in HR function.
• Strong knowledge of Japanese labor laws and HR best practices, especially in recruitment.
• Excellent communication and interpersonal skills.
• Ability to manage multiple priorities and work in a fast-paced environment.
• Proactive, integrity and results-driven with a keen eye for detail.
• Strong problem-solving skills and the ability to think strategically.
• TOEIC score for English of at least 800
• Occasional domestic travel by land and air
