会議に出席し、資料や業務報告等の沢山の情報を処理することはビジネスにおいて一般的な職務でありますが、一日にいくつもの会議に出席する場合、それらの情報の量が多いと、負担になることもあります。主な論点をまとめたり、具体的な対処法等の記述を再度フォローアップ・メールで行うことは、どのような場合でも良いアイデアです。

 

Attending meetings and dealing with large amounts of information is a common task for the average business person and sometimes that information can become overwhelming if you have to attend several meetings a day. It is always a good idea to make sure the main points of a meeting are summarized and any action points restated in a follow-up email.

 

今回のブログでは、会議のフォローアップ・メールの書き方について見ていきましょう。

 

In this blog, we will explore how to write a follow-up email to a meeting.

 

メールを書く際にまず、相手への敬意を表すために、会議に参加した方へのお礼を述べることが大切です:

 

When writing your email, it is always polite to thank the attendees for participating in the meeting:

 

Thank you for your time today.

本日は会議のために、お忙しい中ご参加して頂き、ありがとうございました。

Thanks for setting up the meeting this afternoon.

本日午後に行われた会議を、開いて頂いてありがとうございました。

It was good to see you today.

本日の会議にご参加頂き、ありがとうございました。

 

フォローアップ・メールは会議の簡潔なまとめと、もしも決定事項等があった場合にはそれも含むことが必要です。

 

A follow-up email should always include a short summary of the meeting and what decisions, if any, were made:

 

 

We decided to (postpone the launch until next year).

(来年まで事業開始を延期することを)決定しました。

We agreed on (the relocation of the Shanghai site).

(上海の支社の移転に)合意しました。

We came to the agreement that (the current line-up needs reviewing).

(最新の事業内容を見直す必要があるという)結論に達しました。

 

フォローアップ・メールを送る際に、何か添付資料などがあれば、受信者にお知らせする良い機会でもあります。お知らせする際に、「‘please see attached’(添付資料をご覧ください。)」といった簡素な物言いをすることは、失礼にはなりません。

 

We can also take the opportunity to notify the recipients of any attachments at this point. Notice that it is acceptable to simple use ‘please see attached’ when referring people to an attachment.

会議の議事録をご覧ください。

I have attached a brief summary of the meeting for your convenience.

会議の大まかな概要を添付したので、よろしければご覧ください。

 

会議の中で、何か決定事項等があった場合や、何か指示などがある場合、フォローアップ・メールで再び記載することで、書面での証拠になり、誰が責任者で、企画や業務の方針や行程などを、全員で確認することができます。

 

If an action plan was agreed on, this should be reiterated at this point in the email so that there is both written evidence and that everyone is aware of what happens next and who is responsible:

 

As we discussed, the next step is to (get in contact with our suppliers).

会議で話し合ったように、次の業務行程は(仕入先と連絡を取る)ことです。

As noted in the meeting, the next stage is to (review our overhead costs).

会議で指摘されたように、次の段階で行うことは(諸費用の見直し)です。

At this point, we should (consider setting up a new branch in Aoyama).

現時点で、私達は(青山に新しい支店の設置を考慮する)べきです。

Could you (inform Mr. Takeda of the changes)?

(変更があったことを武田さんに伝えて)いただけますか?

Would you mind (heading up that project)?

もしよろしければ(その業務を進めて)いただけますか?

Would it be possible for you to (get back to us on the price point we suggested)?

もし出来ましたら(私達が提案した価格についてのお返事を)いただけますか?

 

何か約束や契約が執り行なわれたり、返答がないままの質問などが会議においてあった場合、メールの最後の部分でそれに触れることができます。

 

If any promises were made or questions were left unanswered in the meeting, they can be addressed in the final stages of the email:

 

As promised, I will get back to you on (the final details of the launch).     

お約束どおり、(最終の事業開始に関する詳細)について後日お知らせ致します。

We will continue to work on (calculating the exact figures) on our side.

当方で(正確な数字の割り出し)を引き続き行って参ります。

Let’s look at a sample follow-up email below:

 

From: miker@abc.comm  (送信者)

To: jackn@abc.comm, brucew@abc.comm, selenak@abc.comm  (受信者)

Subject: [Follow-up] Branch Operation Meeting on Tuesday 14th April 2015 

 

Hi Jack, (cc: Bruce and Selena)

 

Thank you for your time this afternoon.

 

We discussed the current situation with the branch operation and we agreed on the following points:

 

  • Reduce electricity costs by switching off lights when employees are not in the office.
  • Properly separate rubbish into burnable and un-burnable trash cans.
  • Ask all employees to change their passwords to combat the recent data leak.

 

Please see attached the meeting minutes.

 

As we discussed, the next step is to communicate these changes clearly to all employees in the weekly meeting and by email. Selena, would you mind sending out the email?

 

As promised, I will get back to you with more information on next year’s office relocation next week.
